The opportunity

As a Project Administrator, you will work collaboratively on the safe delivery of the City's projects, ensuring a clean, sustainable environment that supports community health and wellbeing. This involves assisting with project plans and schedules, recordkeeping, monitoring milestones and deliverables, coordinating external resources, and maintaining logs and registers. You'll also assist in preparing and monitoring budgets and financial reports. The role requires providing efficient internal and external customer service, meeting stakeholder needs and coordinating responsive service delivery.

What you will do

  • Manage the administration activities for the program and associated projects as directed.
  • Support financial and operational data analysis.
  • Assist in preparing and monitoring budgets, as well as handling financial reporting activities.
  • Assist in the management of vendor relationships, meetings, budgets, resource allocations to maintain allocated vendor budgets and resources.
  • Review, develop, and implement processes, procedures, forms, and templates related to project administration.
  • Provide administrative and secretarial assistance to the Program Delivery Team, including information retrieval and incidental correspondence.

What we are looking for

  • Previous experience in project administration, preferably within a program delivery or project management environment.
  • Proficiency in project management software and Microsoft Office Suite.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Strong attention to detail and ability to work in a fast-paced environment.
