JOB DESCRIPTION
Reporting directly to the Senior Manager Strategic Portfolio within the Office of the CEO, this Administration Officer position provides high-level executive, project, governance and administrative support across a diverse portfolio of strategic initiatives.
The position plays a critical role in coordinating reporting, stakeholder engagement, executive communications, governance documentation and operational activities to support the successful delivery of Council priorities.
Key responsibilities:
- Coordinate operational, financial and resource reporting within required timeframes.
- Provide high-level technical and administrative support to enhance team workflows, processes and collaboration.
- Prepare, collate and maintain project documentation, submissions and records, ensuring professional presentation standards.
- Support the development, review and delivery of policies, procedures, internal audits, business cases and corporate reports, including the Delivery Program and Operational Plan.
- Coordinate Council requests, referrals and workflow assignments through TRIM and Pathway.
- Provide timely, professional and responsive service to internal and external stakeholders.
- Draft responses for Mayoral, Councillor and CEO requests, customer enquiries and media-related correspondence.
- Coordinate executive calendars, meetings and stakeholder engagements as required.
- Prepare executive briefings, reports, business cases and presentations for senior leadership, Council and external stakeholders.
- Assist with governance and reporting functions associated with the Office of the CEO.
- Draft and coordinate confidential correspondence, briefing notes and executive communications.
- Maintain administrative procedures and process purchase orders, requisitions and corporate credit card reconciliations.
ABOUT YOU
The successful applicant will demonstrate:
- Relevant qualifications (Certificate IV or Diploma) or equivalent experience in a technical office, governance, legal or related environment.
- Experience coordinating corporate reporting and contributing to financial and budget reporting.
- Strong time management and organisational skills, with the ability to manage competing priorities and meet deadlines.
- High levels of accuracy and attention to detail, with strong proficiency in Microsoft Word, Excel and PowerPoint.
- Experience handling complex enquiries and complaints in a professional and effective manner.
- The ability to work independently, within a multidisciplinary team and across a complex organisation.
- Demonstrated capability in making decisions relating to administrative systems and procedures.
- Excellent written and verbal communication skills, with a strong commitment to customer service.
- A commitment to the continuous improvement of administrative systems and processes.
- An understanding of records management procedures and experience using records management systems.
- Experience supporting senior executives, leadership teams, boards or governance functions.
- Demonstrated ability to manage confidential and sensitive information with discretion.
- Exceptional stakeholder management and relationship-building skills.
- Experience preparing professional reports, correspondence, business cases, board papers or executive briefings.
- Advanced Microsoft 365 skills, including Outlook, Teams, Word, Excel and PowerPoint.
- Current Class C Driver Licence or Provisional Licence.
