About the Role

The Administration Officer oversees the coordination of bookings and event inquiries for the Council's Aquatic Centres while also providing crucial operational, workflow, and administrative support to Centre Management and Centre programs. This position supports both the Bexley and Botany Aquatic Centre locations. As the Centres operate seven days a week between 5am to 11pm, the 35‑hour working week will be scheduled flexibly across these operational hours.

About You

Reporting to the Aquatics Centre Manager, the successful candidate will see themselves:

Within the area of responsibility, this role is required to:

  • Collect and compile information for, and prepare documents and correspondence, and meeting agendas/presentations/minutes, in line with quality and organisational requirements, to support information flow and inform decision making.
  • Respond to email and phone enquiries, communicate services and resolve, escalate or redirect issues as required, to ensure the provision of accurate information.
  • Oversee the administration of bookings, venue hire and events and related accounts and financial management, stakeholder liaison and customer service, communication material and online platform information.
  • Update and maintain Council’s booking management system and databases, to ensure that all booking and event information is accurate and correctly stored and accessible.
  • Complete routine financial transactions and purchasing services, ensuring compliance with agency policies and procedures.
  • Provide customers with accurate information regarding all activities of the Centre, including fees, programs and events to ensure customer needs are met.
  • Support Centre operations by conducting sales activities, tours, and engagement initiatives for new and existing clients to enhance customer retention and increase facility usage.
  • Monitor and record Centre visitation statistics, program data, operational plans, and promotional activities.
  • Assist with the administration of the Centres policies, procedures and related documentation.
  • Promote the positive and collaborative culture and values of the organisation through open, fair, and transparent decision making and ethical, professional behaviour.
  • Work in collaboration with and assist the team, Manager, and other key stakeholders to achieve business unit goals, work requests, demands and Council priorities.
  • Undertake other tasks and actions as assigned by the Supervisor.

We are looking for someone who has:

  • Current First Aid and CPR Certificate.
  • Current Working with Children Check.
  • Demonstrated experience managing multiple tasks, competing interests, and deadlines through the application of time management and prioritisation skills.
  • Excellent written and oral communication skills with the ability to consult and liaise with internal and external stakeholders.
  • Knowledge and experience in using IT devices and applications including but not limited to PCs, tablets, printers, and the modern Microsoft application suit, facility bookings software and Records Management systems.

Salary range:  From $70,599 - $79,071 pa + 12% superannuation
