Executive Assistant & Project Officer – Finance and Governance (Temporary – up to 12 months)
The Opportunity
Lithgow City Councilhas an exciting opportunity for anExecutive Assistant and Project Officerto join our Finance & Governance team on a temporary term up to 12 months.
Reporting to the Director of Finance and Governance the position will provide high-level executive, secretarial and administrative support to the Director and the wider Directorate. The role also contributes to project coordination and administrative support for key directorate initiatives.
The position is responsible for:
- supporting the Director and Finance & Governance team with executive and administrative tasks
- coordinating and preparing Council and Committee business papers, agendas and minutes
- helping ensure governance documentation is accurate, compliant and delivered on time
- assist in the timely reporting of organisational performance
- assist in the compilation of Integrated and Planning Reporting documents
- assisting with project work, registers, reporting and organisational documentation
- Administer and maintain Doc Assembler/report management system
- providing broader executive support to other Directors or the General Manager when required
This position will be required to attend meetings outside of normal hours for events such as Ordinary Meetings of Council and Councillor Workshops.

About you
The successful candidate will meet the following criteria:
- Class C Drivers Licence
- Qualifications/Certificate III in word processing or business administration or related areas
- Strong administrative and executive support experience
- Excellent organization, time management and communication skills
- Typing speed of 60 wpm with 95% accuracy
- Thorough knowledge of Microsoft Office 365 programs including Outlook, Word, Excel, Powerpoint and Teams as well as Zoom.
- Discretion, professionalism and confidentiality
- Exceptional customer service skills.
- Commitment to WHS and sound recordkeeping
- Ability to co-ordinate organisational wide engagement
- Experience with agendas, minutes and business papers
In addition the ideal candidate would be competent in use finance or governance systems, business writing experience, experience with DocAssembler / report management systems and experience in maintaining registers, action plans and policy documents.
