Administrative Assistant
- Temporary full-time position, 35 hours per week (maternity leave cover-upto 12 months)
- Salary from $75,960.23- $82,225.96 per annum + 11.5% superannuation

About the role:
- Manage telephone enquiries and interview persons seeking information, redirect or make arrangements as appropriate.
- Resolve complaints/queries on request.
- Schedule appointments and alert the Executive Manager Corporate Services and Governance on a daily basis.
- Councillors fees:
- Prepare and pay Councillors’ fees each month.
- Maintain Councillors’ Fees Register
- Reconcile and distribute Councillors End of Year statement/Payment Summary
- Councillors travelling allowance:
- Calculate and pay Councillors travelling allowance on a quarterly basis.
- Maintain Travelling Allowance Register
- Control and monitor the Financial Services Section requirements for WH&S documentation and inspections.
- Assist in preparation of IPR documents including Fees & Charges, Operational Plan, annual financial statements and Long Term Financial Plan.
- Coordinate Corporate Services and Governance reports to the Ordinary Meetings of Council.
- Coordinate Corporate Services and Governance reports to Executive Meetings.
- Ensure relevant Council resolutions are completed in a timely manner
- Ensure compliance of organisational standards for all relevant corporate documents.
- Provide office support and training for Council’s electronic document management system.
- Distribute electronic document management system workflow where required.
- Key User for Corporate Services and Governance electronic document management system, InfoCouncil and InDesign software.
- Coordinate office supplies and equipment.
- Update and maintain appropriate meeting rooms as required.
- Assist in developing presentations to Council and Executive.
- Provide assistance to and relieve the Personal Assistant to Director City Governance when required.
- Organise conference/training itineraries (including travel, accommodation) for all Financial Services staff.
- Maintain Council's website pertaining to financial information.
- Maintain the Corporate Services and Governance intranet page.
- Monitor and report on Financial Services Section Business Plan.
- Maintain Council’s Portable Attractive Items register for Corporate Services and Governance.
- Coach, mentor and manage work performance and duties of Financial Services Trainee, when required.
The successful candidate will demonstrate the following key skills and attributes:
- Relevant tertiary qualifications or job related experience.
- Excellent working knowledge of Microsoft Office Suite and other relevant corporate applications
- Relevant job related experience in a similar role
- High level interpersonal skills and demonstrated high level written and oral communication skills
- Ability to maintain confidentiality and exercise discretion and diplomacy at all times
- Excellent time management, organisational, analytical and problem solving skills
